Information for delegates

Accommodation All rooms are non-smoking with en-suite showers. There is no lift so please indicate on the booking form if you prefer a room on the ground floor.

Accompanying persons Some double rooms are available at an additional cost of £47 per night (inc. breakfast) in Franklin House, a 10-minute walk from the conference centre. Please book as early as possible as these rooms will be allocated on a first come, first served basis. Accompanying persons may not attend the conference, but they may attend the conference dinner at a cost of £35.

AGM (Sunday 13 September) Please indicate on the booking form if you intend to be present.

Booking and cancellation Booking is now open and closes on 27 July 2009. Bookings received after 27 July will be held on a waiting list, but places cannot be guaranteed.

If you have to cancel your booking, a partial refund may be possible if we can fill your place. NB: A non-refundable deposit of £50 is included in the conference fee. Late cancellations (after 3 August) will not be eligible for any refund.

Choosing workshops/seminars Delegates will be sent a questionnaire by email in early August asking for workshop/seminar choices and any questions they may want to ask the leaders. Please return your form as soon as possible by post. Workshops will be allocated on a first come, first served basis. If you will be away during August, please advise the SfEP Office so that we can try to send you your questionnaire before you go away.

Conference fees

• Residential rate includes: two nights’ accommodation; attendance at all the sessions; dinner on Sunday, and breakfast and lunch on Monday and Tuesday; the conference dinner on Monday; and refreshments.
• Non-residential daily rate includes, from registration on the relevant morning to the end of the last afternoon session, all conference sessions, refreshments and lunch on that day. The conference dinner is payable separately.

Conference centre This is Vanbrugh College. There is a lift and break-out rooms will be on the ground floor and first floor.

Confirmation of booking A confirmation email will be sent to you on receipt of your booking form and payment.

Dates and times

• AGM: Sunday 13 September, 5 pm
• Conference: begins Monday 14 September, 9.30 am; ends Tuesday 15 September, 4 pm.

Early bird discounts

• £40 for delegates booking resident places and paying in full before 31 March 2009
• £15 per day for non-residents paying in full before 31 March 2009.

Extra nights Accommodation on Sunday and Monday nights is included in the residential rate. An extra night before (Saturday night) and after (Tuesday night) the conference will cost £50 per person per night for bed and breakfast.

Internet Internet access will be available at a fixed cost of £10 (for a maximum of five days). There are wireless hotspots on campus and wired access only in the accommodation (you'll need to bring your own lead). For more details, email Justina Amenu, SfEP executive secretary.

Travelling to York

• Car parking The university has pay-and-display car parking. Details will be available nearer the conference, but parking will be allocated on a first come, first served basis.
